Assistance case
We help prepare documents for the assistance company
Saint Nicholas Medical Center does not sell insurance policies on this page. The clinic helps patients with medical documents, invoice details and information for the assistance company when a policy case is already open or authorization is needed.
The reference connects patient, administrator and clinic.
Who administers the medical case?
Global Excel provides medical case coordination and claims administration. Its name on a card may identify the case administrator rather than the company that issued the insurance.
For a clinic visit, establish the programme name, case reference and recipient of medical records and invoices. Ask who authorises this particular consultation. Approval for one appointment does not automatically cover later investigations. Identifying these responsibilities helps prevent documents being sent to the wrong department.
One case with different recipients
If messages come from different departments, establish who reviews the medical report and who processes the invoice. After assessment, check that consultation and investigations are described separately. For a missing document, ask which item is required rather than resending an entire archive. If you already paid, state that so the invoice is not treated as unpaid. Participants need clear information about the actual visit and expenditure status, rather than just the handling organisation’s name.
For an invoice supplement, establish whether a medical description, itemised services or proof of payment is missing. These are different documents; the clinic can respond more accurately to a request identifying the required information. Do not edit a received report yourself.
Checks for the actual appointment
- Medical records and payment documents
- Collect the consultation report and evidence of paid services separately. Check the patient’s name, date and description of what was done. Ask about electronic copies, translations and retaining originals. Send legible files: a photograph cutting off the date can lead to another request. A payment receipt alone does not replace a medical report.
- Direct settlement or reimbursement
- Ask whether the clinic receives specific payment confirmation or you need to pay first. For personal payment, establish required documents and the submission procedure. Reimbursement depends on the agreement and assessment. Clarify patient contributions and excluded expenses before a planned service. A logo or registered request does not establish the financial terms of this particular appointment.
- A new investigation after the first appointment
- If the clinician recommends an additional investigation, report what was requested and when it is available. The original authorisation may not cover the new scope. Check clinic availability separately from financial arrangements. For a review, ask whether the case reference remains valid. A medical recommendation and an insurance payment decision serve different purposes.
